SCOPE STATEMENT
This Declaration applies to all natural and legal persons who interact with B2Bike. The Statement explains how Personal Data is collected, used and disclosed by B2Bike (We, Us). It also explains how to access, update and make certain choices about the use of your Personal Information.
This Notice covers both our online and offline data collection, including Personal Information We collect through our various channels, such as our dealers, apps, websites, social media and events.
Please note that We may combine Personal Data collected in one way (e.g. a B2Bike website) with Personal Data collected in another way (e.g. a visit to a B2Bike network shop). Please refer to Part 10 for more information on how you can object to this.
If you choose not to provide us with necessary Personal Data, we may not be able to offer you our goods and/or services. We will indicate when this is the case.
This Statement may change over time.
- SOURCES OF PERSONAL DATA
This Notice relates to Personal Data We collect from you and about you using the methods described below from the following sources:
– Input by a dealer of the B2Bike network when making a lease and wage exchange calculation.
– Websites/apps of B2Bike. Employee-focused websites or applications operated by B2Bike.
– E-mail messages, SMS and other electronic messages. Electronic communication between you and B2Bike.
– Data provided by partners.
- PERSONAL DATA THAT WE COLLECT AND HOW WE COLLECT THEM
Personal contact information necessary for the smooth processing of a quotation. This includes all information provided to us by the user which :
– Enables us to contact the individual, such as name, post address, e-mail address, telephone number, etc.
– Enables us to complete an insurance file such as a national registration number, driving licence number.
– Enables us to make an appropriate lease and wage exchange calculation or quotation: choice of brand, model and model of bicycle, accessories and accessories.
Sensitive Personal Data. We do NOT process sensitive data for marketing purposes. If we process Personal Data for other purposes, we will base ourselves on the following legal grounds: (i) detection and prevention of criminal activity (including fraud prevention); and (ii) compliance with applicable laws (e.g. to comply with diversity reporting).
- PERSONAL DATA OF CHILDREN
We only work in a business-to-business context, and only need data from employees. Consequently, we will not knowingly request or collect personal information from children under the age of 13. If we do find that such personal data has been unknowingly collected, we will delete it immediately.
- COOKIES/COMPARABLE TECHNOLOGIES, LOG FILES AND WEB BEACONS
B2Bike does not use cookies, log files, web beacons or any other similar technologies.
- WAYS IN WHICH YOUR PERSONAL DATA ARE USED
The following paragraphs describe the different purposes for which We collect and use your Personal Data and the different types of personal data collected for each purpose. Please note that all of the uses listed below are relevant to each individual.

- DISCLOSURE OF PERSONAL DATA
We only share Personal Data with the following types of external organisations:
Service providers. These are external companies that we use to help us run our business (e.g. order processing, payment processing, fraud and identity detection, support services). Service Providers and their selected staff may access and use your Personal Data only on Our behalf for the specific tasks they are requested to perform based on our instructions, and must ensure that your Personal Data remains confidential and secure.
External Recipients who use Personal Data for legal or merger/acquisition reasons. We will provide your Personal Information to third parties for legal reasons or in the context of an acquisition or merger (see Section 5 for more information).
7. RETENTION OF PERSONAL DATA
We will take every reasonable step to ensure that personal data is only processed for a minimum duration. We will use the following criteria:
a) B2Bike will use a copy of your Personal Data to identify you as long as
i) We have a commercial relationship with you (e.g. as long as We can be held responsible in any way for a product or service supplied to you).
ii) Your Personal Data is necessary for any other purpose as described in this Notice and we have a valid legal basis for doing so,
And
b) the period of time prescribed for fiscal obligations or necessary to safeguard Our rights plus an additional year after the end of this period. This extra year is provided in the event that just before the end of the initial period there is a requirement that We still need the personal data. This period will serve to set a new date on which the data will be deleted, destroyed or made anonymous.
8. STORAGE AND/OR TRANSFER OF YOUR PERSONAL DATA
We use a variety of reasonable measures to keep your Personal Information confidential and secure. Please note, however, that these protections do not apply to information you choose to share in public places, such as external social networks.
People who have access to your Personal Information.
Your Personal Data will be processed by our authorised staff or agents, on a need-to-know basis, depending on the specific purposes for which your Personal Data has been collected (e.g. our staff responsible for the Quotations will have access to the data of persons requesting a Quotation).
Measures taken when storing data.
We store your Personal Data in environments that use appropriate security measures to prevent unauthorised access. Personal data of individuals who have commercial contact is stored in the secure environment of Google Cloud Platform. 9. YOUR RIGHTS
Access to Personal Data. If the law so provides, you, your successors, agents and/or representatives have the right to access, review and request a physical or electronic copy of any information held about you. You also have the right to request information about the source of your Personal Data.
These rights may be exercised by sending us an e-mail to GDPR@B2Bike.be or by writing to us at our registered office. You must enclose a copy of your proof of identity or equivalent data (if requested by Us and permitted by law). If the request is made by someone other than you, without proving that the request is lawfully made in your name, the request will be refused.
Please note that any identification information provided to Us will only be processed in accordance with and to the extent permitted by applicable laws.
Additional rights (e.g. modification, deletion of Personal Data). Y, your successors, agents and/or assigns may (i) request the deletion, transferability, correction or revision of your Personal Data; (ii) oppose the processing of the data (including for direct marketing purposes); (iii) restrict the use and disclosure of your Personal Data; and (iv) withdraw your consent to any of our data processing activities.
Please note that in certain circumstances we may not be able to delete your Personal Data without also deleting your user account. We may need to retain some of your Personal Information after you request its deletion in order to comply with our legal or regulatory obligations. We may also be permitted by applicable laws to retain some of your Personal Information to meet our business needs.
Where available, our Websites have a special feature that allows you to review and edit the Personal Information you have provided. Please note that We ask our registered consumers to verify their identity (e.g., login ID/email address, password) before they can access or change their account information. This helps to prevent unauthorised access to your account.
We hope We can answer any questions you may have about the way We process your Personal Data. However, if you have unanswered questions, you also have the right to complain to the competent data protection authorities
10. CHANGES TO OUR DECLARATION
If We change the way We process your Personal Data, we will amend this Notice. We reserve the right to make changes to our practices and this Notice at any time. Please check regularly for any updates or changes to our Policy.
